Proposal Instructions

This is the proposal phase of the Eureka Build-a-thon Project Contest. All faculty, staff, and trainees are invited to apply if you have an eligible project.

 

Open Proposals is a crowdsourcing platform. Participation is vital! 

  • Set alerts to know when your Proposal has comments.
  • Encourage your colleagues to read Proposals and make comments.
  • Follow-up on comments and requests for more information.
  • Submit your Proposal as soon as possible to take advantage of feedback and optimization of your ideas for improvement.

Eligibility

Any UCSF research study team with a project that can be feasibly be implemented in the Eureka platform and has:

  • Measurable public health implications and community benefits
  • Potential to increases success of a digitally enabled study at UCSF
  • Professional development for study team members

Criteria for Ranking Proposals

Eureka Team and DEB Digital Health Initiative steering committee will screen proposals and select the three (3) highest ranked based on a rubric, measuring the following criteria on a 5-point Likert scale:

  • Feasibility – What is the feasibility of using Eureka for this study and feasibility of executing the study once built?
  • Fundability – What is your current funding for this project, or if currently unfunded, how will this support funding applications?
  • Professional development – How will this project support the professional development of the team leader and/or team members?
  • Impact – What improvements will result if your research succeeds (e.g., what are the public health implications or community benefits)?
  • Overall Score

 

Award and Participation

From the proposals submitted, three projects will be selected.

  • Awardees will receive the opportunity to join the Eureka Build-a-thon workshop, a full day in-person event, where teams will receive direct support to build their studies in the Eureka platform
  • Awardees will receive tailored coaching support from Eureka team members, including a Protocol Project Manager, Developer, Designer, and PI
  • All awardees will have the opportunity to pay for Eureka maintenance for the studies that are built. Teams will receive a discount if they are building more into their Eureka study in the future
  • One winning team will receive complimentary Eureka maintenance for one year (value of approximately $23,500)

 

Proposal Format

For your proposal to be considered, it must contain each section in bold below (use them as headings in your proposal) and a maximum of three (3) single-spaced pages.

  • STUDY PROCEDURES AND TIMEPOINTS (1/2 page)
  • FEASIBILITY (1 paragraph) – Please comment on the feasibility of using Eureka for this study and feasibility of executing the study once built.
  • FUNDABILITY (1 paragraph) – What is your current funding for this project, or if currently unfunded, how will this support funding applications?
  • PROFESSIONAL DEVELOPMENT (1 paragraph) – How will this project support the professional development of the team leader and/or team members?
  • IMPACT (1 paragraph) – What improvements will result if your research succeeds (e.g., what are the public health implications or community benefits)?

 

Submission Instructions

Submit your proposal by clicking the orange ‘ADD PROPOSAL’ button at the top right of the screen on the "Eureka Build-a-thon" landing page on OpenProposals.

Copy the template provided above and paste your proposal into the text box. Click ‘SAVE’ button to submit.

Timeline

  • August 14 - September 15: Open Submission & Open Improvement
    • Proposal submissions due by Fri., September 15, 2023
    • During this time, project teams should:
      • Submit their proposal.
      • Identify core team members to attend Build-a-thon.
    • To maximize benefits of Open Improvement, teams should aim to submit as early as possible.

     

    • After submission, project teams should:
      • Submit your Eureka intake form with more detailed specifications
      • Optimize your proposal
        • Browse proposals and comment to improve others' proposals.
        • Stay on top of OpenProposal comments, answer questions, and ask new ones!
      • Continue to build your core team and extended stakeholders interested in this project.
  • September 18-27: Reviewers meet to select projects
  • September 29: Project PI’s are notified
    • Highest ranked projects will be notified on Fri, September 29, 2023
  • October 27: Eureka Build-a-thon
    • Research teams will convene at UCSF Mission Bay Campus to build their studies with support from the Eureka team and compete to win one year of complimentary study maintenance on Fri, October 27, 2023
